RN/Clinical Operations Manager

Position Summary

Responsible for collaborating with physicians and multidisciplinary team members to provide clinical support and act as a resource to the office staff. Assists the providers with follow up on computer in-basket messages and documentation, tracking labs, other abnormal results and subsequent appointments, triaging patient phone calls, assisting with referrals, implementing and monitoring infection control standards, appropriate logs and quality control standards, and maintaining good clinical practices in a faculty practice setting. The position is also responsible for the management of the faculty practice; which includes the oversight of the daily clinical operations, revenue cycle, regulatory compliance, staffing management, and financial management for the faculty practice operations.

Essential Job Duties and Functions

Ensures compliance with clinical regulatory practice guidelines
Maintains infection control standards and all quality controls and required logs in the faculty practice office.
Reviews and sorts incoming lab/radiology results, communicating critical results to the provider, tracking abnormals, and ensuring documentation and proper follow through.
Triages clinical patient calls to provide timely care to patients and consult with providers as needed for information on patients and address patients concerns and questions. Ensures proper documentation and follow through.
Assisting the providers with managing computer in-basket communications, documenting follow through in an appropriate and timely fashion.
Facilitates care through management of routine medication orders, concerns regarding side effects and other minor clinical conditions, and explanation of laboratory and study results.
Educates patients regarding medications and their expected side effects and outcomes, treatments and therapies.
Provides independent nurse level visits when required and within the RN scope of practice as well as also provides clinical support to assist providers when needed
Perform intake duties as needed and administering injections with documentation as appropriate.
Updates VIS (vaccine information sheets) as new updates come out on the CDC website, making sure that the clinic is using the most current forms available to ensure regulatory compliance.
Manage My Health Advantage Patient Portal messages and respond in a timely manner.
Clinical Operations

Works with the faculty practice Medical Director, RN Manager for Clinical Care and Patient Safety, Associate Chair of Clinical Affairs, and Director of Faculty Practices to ensure proper planning, implementation and adherence of departmental and clinical policies, procedures, and compliance with all applicable regulations and statues that govern the operations of medical practices.
Initiates, coordinates, and/or participates in departmental problem resolution, coordination of patient care, and management of special patient populations.
Oversees office EPIC work queues and resolve billing edits in a timely manner to ensure proper and efficient revenue cycle in collaboration with the Central Billing Office (CBO), Director of Faculty Practices, Referral Specialists, and the Billing Department.
Ensures the monitoring and maintenance of medical records or protected health information (PHI) according to HIPAA regulations.
Complies with all legal requirements and company policies.
Identifies and investigates patient clinical care complaints, provider complaint, and clinical staff complaints. Recommends and implements initiatives to resolve such issues and follows up with appropriate individuals to ensure that such issues have been satisfactorily resolved.
Maintains work environment that provides maximum safety and health and encourages safety awareness among employees. Reports unsafe conditions and injuries/illnesses and incidents in a timely manner and ensures that employees perform duties using safe work techniques in accordance with OSHA safety and health rules and sanitation standards
Responsible for purchase requests needed for clinical operations while ensuring sufficient supplies of needed items are available to minimize disruption to the operation of the clinic.
Assesses the need for new capital equipment or renovations through communication with physicians, vendors, supervisors, and staff. Initiates the evaluation and subsequent purchase of capital equipment. Facilitates introduction of purchased equipment to appropriate staff and coordinates training to ensure proper operation and maintenance of the equipment keeping patient safety and quality of care as our utmost priority.
Monitors assigned office operating budget to reflect the needs of the office and organization.
Provides overall supervision of clinical office staff. Assigns work, delegates responsibilities, approves times off and timesheets. Create a monthly clinical staff calendar for proper assignment of duties. Assures proper quality execution and completion of staff’s assigned tasks.
Recommends/initiates personnel actions for all clinical staff such as selection, performance evaluation, promotion, staffing, merit increases, and discipline up to and including discharge, within the guidelines of the Equal Employment Opportunity and Affirmative Action programs and in accordance with applicable personnel policies.
Manage physician schedules and adjust EPIC templates accordingly in a timely manner.
Assists RN Manager for Clinical Care and Patient Safety with competency assessments for all clinical staff.
Facilitates on site clinical orientation and competencies for MA staff.
Provide the clinical educational updates to staff at monthly staff meetings. Ensure staff understanding, sign off and monitor clinical compliance
Other

Maintains professional growth and development though seminars, workshops, and professional affiliations to keep abreast of latest trends in field of expertise.
Performs all other duties as assigned.
Qualification Requirements

Education/Training

Minimum:

Associate degree in Nursing
Current Nursing License in Hawaii or ability to obtain state license.
CPR Certified
Preferred:

Bachelor’s degree in Nursing or healthcare related field.
Experience

Minimum:

Two (2) years of experience working in a clinical setting with direct patient care responsibilities.
One (1) year of managerial experience in a clinical setting.
Preferred:

Four (4) years recent clinical experience in obstetrics and gynecology environment.
Two (2) years managerial experience in a clinical setting to include at least one (1) year of supervisory experience.
Skills/Knowledge

Job Conditions

Fast-paced work environment
Occasionally requires lifting items up to 30 pounds, frequent sitting, and standing, walking and bending.
Some travel to Oahu may be required.
Usual hours are Monday through Friday from 8:00 a.m. to 5:00 p.m. Hours may be flexed to accommodate office schedules, and duties may require extended hours.
Equipment Used

Basic office equipment and basic medical equipment related to OBGYN/Women’s Health including but not limited to ultrasound machine, autoclave, suction machine, etc.
Patient registration and billing software in addition to electronic medical record (EMR) system (EPIC).
